Exchanges Program

Exchange program is a program organized by inviting and/or sending human resources of a university (students, lecturers, staff) to participate in an international scope program. The program is held within a certain period of time and often carries specific themes related to the global world. Benefits of these programs include :
  1. Acquiring new skills and experience.
  2. Building international networks/relations.
  3. Opening broad horizons.
  4. Broading foreign language skills.
  5. A media to promote Indonesian culture.
  6. A mean to learn about other cultures.
  7. Etc.

Procedural

Program Promotion
  1. Foreign host universities/institutions send their invitations of outbound and/or request to participate in an inbound exchange programs to UPNVJ through the IO UPNVJ;
  2. IO UPNVJ forwarded the information to the Vice Rector for Academic Affairs to request for follow ups;
  3. If yes, IO UPNVJ will coordinate the decision to the host University/Institution;
  4. The IO UPNVJ drafts or coordinate with related Faculties to prepare the Funding Plannings related to participation in the programs;
  5. IO UPNVJ promotes related programs to the entire UPNVJ academic community, through the IO UPNVJ website, Social Media, and notification letters to each Department in UPNVJ.
Selection
A) Selection from IO UPNVJ
  1. IO UPNVJ opens registration for academicians to take part in exchange programs;
  2. Registrants register and prepare all documents that are registration requirements within the specified period;
  3. IO UPNVJ prepares a schedule for selection of applicants;
  4. IO UPNVJ carried out the selection process.
  5. IO UPNVJ announces the names of those who pass the exchange program according to the specified time.
B) Selection Through Study Programs
  1. IO UPNVJ submits a candidate application letter to the Head of the Department;
  2. The Department submits a list of names of prospective students to take part in the selection process to KUI UPNVJ;
  3. IO UPNVJ coordinates with the Department regarding the preparation of candidate selection schedules;
  4. IO UPNVJ coordinates with departments regarding the implementation of the candidate selection process;
  5. IO UPNVJ announces the names of those who pass the exchange program according to the specified time.
Preparation for Departure
  1. Candidates who pass the selection complete the required documents requested by the program organizer.
  2. Candidates who pass the selection sign a statement letter on a sufficient stamp;
  3. IO UPNVJ registered UPNVJ delegates to join the program;
  4. IO UPNVJ provided briefing and briefing to delegates regarding the departure, implementation, and return process;
  5. IO UPNVJ prepares delegate departure tickets;
  6. IO UPNVJ held a release session for delegates attended by UPNVJ Leadership Representatives (situational);
  7. IO UPNVJ accompanied the departure of the delegates at the airport.
Monitoring
  1. IO UPNVJ creates an account on the “IO UPNVJ Information and Monitoring System” to be submitted to the delegation/head of delegation;
  2. The delegation/head of delegation provided updated information regarding the situation, whereabouts, and implementation of the program to the IO UPNVJ through the “IO UPNVJ Information and Monitoring System”.
Return Preparation
  1. The delegation/head of delegation provides confirmation regarding the return date at least 5 (five) days in advance;
  2. IO UPNVJ sends a return ticket to the delegation/head of the delegation.
